Every 'Rockstar Executive Assistant' knows that managing your executive's schedule is more than just scheduling and rescheduling meetings. You must also ensure that they have time to do priority work; they are never late for a meeting and ensure no time is wasted. There is an art to it!

Use a shared calendar: If your organization does not use Outlook, Google Calendar is a great option. Whichever system you use, be sure your executive is sharing their calendar with you. You will be able to add, edit, and sync events easily.

Don't just track meetings: It is essential that you build in time for other priority tasks into your executive's schedule. If he or she spends most of their time in meetings, he will not have time to do other essential tasks. Book time slots for returning phone calls, responding to emails, writing reports, signing checks, etc. Check with your boss daily to find out what priority tasks he needs to complete that day, week, and even that month. Checking with them will help you manage their calendar more efficiently.

Avoid double booking at all costs: Double booking your executive is the quickest way to annoy him or her. Be diligent and ensure this doesn't happen! You will be wasting their time and the time of the other meeting attendees when you have to cancel or reschedule. If your executive tends to schedule activities without notifying you or updating their calendar, you should make it a practice to ask them daily if they have scheduled anything that is not on their calendar.

Checking traffic reports will let you know if there are any accidents or construction that should be avoided. Remember, the goal is to be exceptional and not just efficient.

Example: Perhaps President Obama is in town, and there is a gridlock alert. Your executive may decide it will be best for them to take the subway or walk to his meeting, as opposed to sitting in traffic for an hour to go five blocks. This small extra effort will make you indispensable.

Check the weather report: Similar to the traffic; you want to know if there will be any weather events, like rain or snow, which may slow your executive down or impede them from getting to a meeting venue.
